AI is in place. Now it needs to help in everyday work.
AI licences and training have been paid for. But little is changing in everyday work? With short weekly feedback, EngageBeat Fokus gives you clues about what is holding back use. You can then target rules, practice and support at your team’s barriers.
The video shows how to select the statement about AI making work easier in EngageBeat Fokus, submit a rating and optional comment in the check-in, and view the response distribution for a completed sample week as authorised team owners. Results appear after the week closes, with at least five valid responses per question. Targeted practice or clearer checking rules are possible actions for those responsible. The topic trend shows perceived ease of work over several sample weeks. It does not measure individual competence or actual time savings. Closing step: try EngageBeat Fokus yourself.
From customer orders to reliable data for order processing.
A manufacturing company has been using AI in sales for twelve months. Twelve employees transfer orders from emails and PDF files into the order entry system. This provides order processing with items, quantities and delivery dates. Yet the sales team still transfers many details manually: with AI suggestions, it is unclear what matters when checking them.
1 · The sales manager chooses the question
Does AI make everyday order entry easier?
In EngageBeat Fokus, she activates the statement: “Using AI makes suitable tasks in my day-to-day work easier.” The twelve employees respond through the team link on a scale from one to five – without individual employee accounts.

3.2 out of 5: the workload relief is not quite being felt yet.
After the survey week closes, the sales manager sees the average for the statement. The first value in the example trend is 3.2 out of 5. The subsequent discussion pinpoints the barrier: when item descriptions differ and delivery dates appear in free text, the team does not know when it can trust the AI suggestion.
3 · Sales and order processing agree a checking process
Three mandatory checks before handing over data.
Both departments agree: compare the item number with the original, check the quantity and unit, and clearly identify the delivery date. The sales team practises on five typical orders. Unclear details are clarified with the customer before handover; checked AI suggestions can be used directly.
4 · EngageBeat Fokus shows the change
Does the team find everyday work easier?
The same statement remains active and appears again later among the rotating weekly questions. In the example, the value rises from 3.2 to 4.4. This shows the sales manager that employees find AI is making work easier. She also checks in the workflow whether orders are actually being entered faster and correctly.

Less transferring and fewer follow-up questions – with correct orders.
For ten new orders, she compares entry time and follow-up questions from order processing with ten comparable earlier cases. If the data is correct and effort decreases, the checking process becomes standard. If follow-up questions accumulate for particular order formats, those specific cases are improved.
The benefit of EngageBeat Fokus: The sales manager identifies a specific barrier to using AI, targets support accordingly and tracks whether it reaches the team. Comparing orders adds time spent and data quality to the picture.

Four working weeks per month. Capacity value = people × additional minutes × 4 ÷ 60 × hourly value. The costs shown above are deducted from this. The hourly value also applies to participation and coordination. All amounts exclude VAT and apply to regular paid months. The calculation applies to one team of at least five people. The price per team stays the same when more people join. Multiple teams and personal support are not included here.
Include only the additional benefit of the measure considered here, not AI time savings already achieved. The survey itself does not automate any work: you also check time and quality in the workflow. The calculation stays in the browser; entries are neither stored nor sent.
Knowledge for your AI rollout

Studies: where AI helps – and where it can fail
What the research shows
AI can free up time. Using it in the right way makes the difference.
Two studies show specific potential – and why you should assess application and support carefully. The effects studied come from AI use, not from EngageBeat.
+15 %cases resolved per hour
Customer service: support within the workflow
A field study involving 5,172 support workers found an average of 15% more cases resolved per hour with AI assistance. Effects varied considerably by experience.
In an experiment involving 758 consultants, selected tasks were completed an average of 25.1% faster with GPT-4. On a different task that was unsuitable for AI, however, the proportion of correct solutions was 19 percentage points lower.
What does this mean for your rollout? Not every additional training session solves the right problem. EngageBeat Fokus helps you identify barriers from your team’s perspective and track actions. You also check actual time and quality gains in the workflow.
Three more use cases
Three more use cases
Identify a barrier. Choose the right action.
The following examples show typical workflows with assumed time savings. The figures are for planning purposes.
Sales team · 12 peopleMove on faster after customer conversations120 hCalculated potential over 6 months
Starting point
After each customer conversation, the sales team transfers notes to the customer system and drafts an email with the next steps. Despite having an AI tool, much is still written twice.
What did EngageBeat Fokus do?
EngageBeat Fokus asks: “I have enough opportunities to learn how to use AI safely.” In this example, the feedback shows a lack of learning opportunities. The discussion clarifies what the team wants to practise: What belongs in the summary, and which commitments need to be checked again?
What action was taken?
The sales manager introduces a shared template for the conversation outcome, commitments and next steps. The team practises checking three typical conversations and transfers only checked content to the customer system and email.
What benefit does the example produce?
In the calculation example, follow-up takes five minutes less per conversation, including corrections. With six conversations per person per week, this frees up 120 hours for customer work over six months. Spot checks of conversation notes and emails verify that commitments remain correct.
12 people × 6 conversations per week × 5 minutes × 20 active weeks ÷ 60 = 120 hours.
HR team · 8 peopleGive clear answers to recurring questions40 hCalculated potential over 6 months
Starting point
Each week, the HR team answers similar questions about training, holiday procedures or internal applications. General explanations are repeatedly rewritten; when it comes to AI, it is unclear which tools are approved for these tasks.
What did EngageBeat Fokus do?
EngageBeat Fokus asks: “I know which AI tools I am allowed to use for my work.” In this example, the feedback reveals the lack of clarity about approved tools.
What action was taken?
The HR team, IT and those responsible for data protection clarify which tools may be used and what content is permitted in them. The team creates checked response templates for general procedures without entering personal individual cases into AI.
What benefit does the example produce?
In the calculation example, a general response takes four minutes less, including a professional accuracy check. With 30 responses per week across the entire HR team, this creates 40 hours for personal matters over six months. Responses are spot-checked for accuracy and clarity.
30 responses per week across the whole team × 4 minutes × 20 active weeks ÷ 60 = 40 hours.
Project team · 20 peopleHand over project updates without duplicating work160 hCalculated potential over 6 months
Starting point
The project team reports to three internal departments. The same progress, outstanding issues and next steps are transferred into different templates for each.
What did EngageBeat Fokus do?
EngageBeat Fokus asks: “Using AI makes suitable tasks in my day-to-day work easier.” In this example, the feedback shows that the tool is familiar, but differing report formats prevent it from easing the workload.
What action was taken?
Project management and the receiving departments agree a common core format. AI creates a draft from checked project notes; the responsible person checks dates and statements before sharing it.
What benefit does the example produce?
In the calculation example, each short report saves eight minutes, including revision. With three reports per person per week, this frees up 160 hours over six months. The receiving departments help check whether information is complete and follow-up questions decrease.
20 people × 3 short reports per week × 8 minutes × 20 active weeks ÷ 60 = 160 hours.
Calculated using 20 active weeks over six months, before costs. Changes to the workflow create the time savings; EngageBeat Fokus provides feedback to help select and support them.

What would you like to achieve with EngageBeat?
Keep collaboration in view
EngageBeat Team
For a general view of morale and collaboration. Proven standard questions help you identify what strengthens your team and what holds it back in everyday work.
Regular insight into morale and its trend
Standard questions about collaboration and everyday work
With EngageBeat Fokus, you ask custom questions about AI use. This lets you check specifically where support is lacking and how the team experiences it.
Everything in EngageBeat Team
Custom AI questions and the AI adoption topic pack
You can relate the questions to your agreed use case, regardless of which AI tool you use. For this purpose, EngageBeat collects team feedback; it does not read usage data from your AI tools.
Is this another large employee survey?
EngageBeat Fokus adds your own topics to the regular team check-in. Choose a small number of relevant questions. Since topic questions can rotate, allow enough time to receive repeated responses to the statements you select.
How do the regular check-ins work?
The weekly check-in contains two to four questions. One consistent question captures general team morale; its trend is called the team index. It is accompanied by one to three rotating questions, for example about AI use. In EngageBeat Fokus, you can prepare, activate and pause your own questions. Topic packages are prepared question suggestions. Changes take effect in the next survey week at the earliest. To compare responses over time, keep the wording of a question unchanged; rewording starts a new series. How EngageBeat works.
Can we assess the success of AI training?
You can measure how feedback on clarity, perceived confidence in using AI or experienced benefits changes after an action. This helps you decide which content and formats to adapt. Claims about actual skills acquired, productivity or financial value require additional evidence.
Will we see all the data from our AI rollout?
EngageBeat Fokus shows the available survey results and topic trends for each team. Licence costs, technical usage data and process metrics are not combined automatically. You add these sources to your overall financial assessment.
How confidential is the feedback?
Response records contain no names. Only the people you authorise with an administration login (team owners) can view results: after the week closes and with at least five valid responses per question. Free text and context may still allow individuals to be identified. Read more about confidentiality.
What happens after the 28 days?
Your chosen EngageBeat Fokus subscription continues unless you cancel before the trial ends. You choose billing frequency and contract term when booking. Preparation does not count towards the 28 days. Since questions rotate and survey weeks begin on Mondays, a complete before-and-after comparison is not promised during the trial. If you cancel, the final results may only become available after the trial ends, when the next survey week closes. How the trial works.
Start with a specific decision
First clarify which barrier you want to understand and what you want to decide after the pilot. You can then assess whether EngageBeat Fokus is the right component for that purpose.
